Issue 11: Some time saving tips for Word, Outlook and Excel
Format Painter
Have you ever used the ‘Format Painter’ option? This option can copy the text formatting from one part of your document to another, both in the same document and across documents.
The icon is on the Standard Toolbar and looks like this:
How to use ‘Format Painter’:
Select the text that has the formatting you want to copy.
Click on the Format Painter button. Your pointer will appear as a paintbrush icon when you hover it over your document.
Move the pointer to the text you want to format, click the left mouse button and highlight all the text that requires changing.
Please note: To apply formatting to more than one piece of text, double-click the Format Painter icon then highlight each block of text. When you have finished, click the Format Painter icon to turn it off.
Outlook
Do you need to track down all emails that relate to one specific email? To do this, open an email and click the Tools menu, select the Find All option then Related Messages...
Alternatively, if you don’t have the email open, just highlight the relevant email by clicking once on it, click the Tools menu, select the Find option then select Related Messages...
Word
Have you TYPED some text THAT is in the WRONG CASE? If you would like to change the case of some text, highlight it and simultaneously press Shift and F3. You can also use this to change the text to Title Case - just press and release F3 while holding down Shift and the text will cycle through the options.
Excel
It is sometimes useful to ‘merge’ text across several cells (for example to centre a heading). Highlight the cells across which you wish to merge and click on the ‘Merge and Centre’ button:
Any text within the selected cells will automatically be centred, but it can then be changed to right or left alignment. Please note it is best to merge cells before text is typed into them, as when cells are merged, text in only the upper-left cell is retained.
